Follow this guide to get started with Inventory Shield

Step 1:

SIGN UP FOR
INVENTORY SHIELD

Welcome to Inventory Shield! We’re excited to have you on board. If your business or organization hasn’t signed up yet, don’t worry – getting started is a breeze. Click the Sign Up button, fill out the details, select your plan, and get started!

CREATE YOUR
ACCOUNT

To get started, simply provide your name, email, and choose a secure password.

TELL US ABOUT
YOUR BUSINESS

Please enter the name of your business, your phone number, and address.

UPLOAD
YOUR LOGO

If possible, please upload a vector-based version of your logo. Thank you!

CHOOSE
YOUR PLAN

If you have a Coupon Code you can enter it here.

ENTER PAYMENT
AND SUBSCRIBE

To complete the process, simply enter your credit card information, and you’re all set to get started!

Step 2:

GET YOUR CUSTOM
TRACKING LABELS

Once you’ve successfully signed up, our team will promptly begin working on your personalized tracking labels. Using the logo you provided during registration, we’ll create a proof and send it to you for review and approval. Once you give the green light, we’ll swiftly send out your customized tracking labels straight to your address. Typically, this process is completed within approximately 5 business days. We strive to ensure a seamless experience, and we’re excited to deliver your tailor-made tracking solution!

You can always order more labels for FREE within the app. All you need to do is open the side nav and select Request Labels.

Step 3:

ONBOARD YOUR TEAM

While you eagerly await the arrival of your tracking labels, why not take this opportunity to onboard the rest of your team onto Inventory Shield? To invite them, simply provide each team member with an Invitation Code, allowing them to join you on the platform. Let’s make sure everyone is equipped to maximize the benefits of Inventory Shield together!.

You can give them the code or the Invitation Code Link.

Note: Onboard your team effortlessly with Invitation Code Links, the simplest method available. These links automatically direct users to download the suitable app for their devices and conveniently prefill the Invitation Code for a seamless registration process.

OPTIONAL STEP: CUSTOMIZE
LOCATION TYPES AND REGIONS

Imagine location types as folders that help you categorize your individual locations with ease. By default, Inventory Shield provides three types of locations: Shops, Vehicles, and Customers, which are suitable for many businesses. However, you have the flexibility to tailor Inventory Shield’s location types to precisely match your unique requirements. This way, you can efficiently manage and organize your locations for a seamless inventory management experience.

UPDATE AS
NEEDED

On this form, you can update the name and icon to fit your business.

Note: To receive a location history report of your individual locations you will want to turn on Show Time at Location Summary. We do not recommend turning this on for locations that will always have equipment there. This is due to potential that generating such an infinite report could slow down the program for you as with any program.

Step 4:

ADD YOUR LOCATIONS

A crucial step in getting started with Inventory Shield is adding all your locations. Each piece of equipment is assigned to a specific location, whether it’s at your shop, on one of your trucks, or at a customer’s house. To ensure accurate tracking, make sure to add each of these locations to Inventory Shield. This way, you’ll have a comprehensive overview of where your inventory is at all times, enabling efficient management and smooth operations.

LOCATION TYPE

Your location types are at the top of your dashboard.

TAP THE ADD
NEW BUTTON

It is always at the top of the page.

GIVE THE LOCATION
A NAME

You can also put in a phone number, email, and description.

ADD AN ADDRESS
IF APPLICABLE

Tapping on the autocomplete result allows the location to show up on the map.

AND TAP
SAVE!

If you see the map that means Inventory Shield has the geo coordinates.

Step 5:

LABEL YOUR EQUIPMENT -
CREATE SUPPLIES/PARTS

The next step involves adding all of your equipment and supplies into the app, which might take some time depending on the amount you have. However, the good news is that it only takes about 15 seconds per item, and if you involve multiple people, the process can be expedited efficiently.

START BY APPLYING A TRACKING LABEL TO A PIECE OF EQUIPMENT

Our tracking labels are designed to adhere to almost any surface without a problem. To ensure a secure attachment, make sure the area where you’ll apply the label is free from obvious dust or grime. Carrying a rag while labeling can be helpful. Once you’ve chosen a prominent and easily scannable location, firmly press the tracking label into place to achieve maximum adhesion.

This makes sure that you are adding the right code.

EQUIPMENT BUTTON

If the code is already in the system it will show you information about it.

ENTER THE
EQUIPMENT DETAILS

Only the Equipment ID and Category are required

SCROLL DOWN AND
TAP SAVE

Make sure that the current location is correct.

After a few tries, adding a piece of equipment will only take a few seconds. For even quicker input of information, notes, and photos, consider using the desktop version of the app. But either way, you can efficiently manage your equipment and have a visual record of each item at your fingertips.

CONSUMABLES/SUPPLIES/PARTS (BETA)

CREATE A SUPPLY IN EACH LOCATION PER PART ITEM

You have the option to initiate the process in a manner comparable to using equipment through QR codes, or alternatively, you can generate them directly within the application. The choice ultimately rests on your individual preference. Rest assured, even if you initially generate it without a QR code, you can easily go back and incorporate one at a later time! More info on supplies can be found on our Supplies page.

SELECT 'SUPPLY' IN
SIDE NAV

Open the side nav and select ‘Supply’.

CLICK 'UNITS' AND
CREATE

At the top, select ‘Units’, and press ‘Create Supply Units’.

ENTER SUPPLY
ITEM DETAILS

Enter the item name and whether you are keeping track of each item or a percentage of a supply.

ALL
SUPPLIES

Open all Supplies on the Main Dashboard

ADD NEW
SUPPLY

Select ‘Add New Supply’.

SIMILAR
SUPPLY

If you have already created a supply and you are trying to create a similar one for a different location then use this option, otherwise you can skip.

SELECT
SUPPLY UNIT

Select the supply unit for this item.

SELECT SUPPLY
CATEGORY

Select the proper category for the item

SELECT LOCATION
FOR SUPPLY

Select the location for this supply of items.

ENTER SUPPLY ID
AND TYPE

Enter a Supply Id, keep it unique! We suggest using more than 4 numbers or including letters so as not to confuse with our label ID’s that we send.

CREATE NEW SUPPLY

Once all information has been properly entered, create your new supply!

ADD AMOUNTS/QUANTITIES TO EACH SUPPLY

With your inventory established for all parts and consumable items, you can now input the corresponding amounts or quantities you possess for each, categorized by location!

OPEN ALL SUPPLIES

Open All Supplies on the Main Dashboard.

SELECT A SUPPLY

Select the Supply you want to add an amount too.

ADJUST AMOUNT/QUANTITY

Select ‘Adjust Amount/Quantity’.

CHANGE AMOUNT

You can select whether you are increasing, decreasing, or overriding the current supply amount.

Step 6:

MOVE EQUIPMENT AND
TRANSFER
CONSUMABLES/PARTS

SCAN EVERY TIME YOU MOVE EQUIPMENT

Once your setup is complete, simply scan the equipment every time you move it. It only takes a second for each piece of equipment, and you’ll instantly receive confirmation that the location has been updated. Enjoy the convenience of real-time tracking and always stay on top of your equipment’s whereabouts!

It is the big button at the top of a location detail page.

The shortcut icon on the side of the location list also launches the scanner.

SCAN THE QR CODE ON A TRACKING LABEL

The app is ready to scan equipment into this location.

BOOM! THE
EQUIPMENT IS MOVED!

The person, date, time, geocoordinates, and location have all been recorded.

TRANSFER AND CONSUME SUPPLIES

For relocating your supplies, you have a few options. If you’ve set up QR codes for your supplies, you can scan them similar to equipment. Alternatively, you can access your supplies within the app and choose the appropriate action, like transferring an amount to another supply or consuming it at the current location. The process ensures clarity with a well-organized transaction history.

TRANSFER FROM
SUPPLY PROFILE

Open up the Supply Profile, from ‘All Supplies’, then select the supply you want to use. You can ‘Receive’ or ‘Send’ an amount from/to a similar supply in a different location.

CONSUME FROM
SUPPLY PROFILE

‘Use Supply at Location allows you to consume the a portion of the supply and mark it on the respective location’s history.

VIEW SUPPLY HISTORY

You can view the total history of this individual supply and all of the amounts it has sent and received.

CONSUME FROM LOCATION PROFILE

You can open up the location you need to consume a supply and select whether you want to scan or manually find the supply. Enter the amount you are consuming and voila!

VIEW LOCATION USED SUPPLY HISTORY

View the location’s supply history to see what was used and how much on that location. This includes who consumed it and when.
